Job Description
Process daily work for both Sales and Installation, provide support to both Sales and Installation with the daily work flow. Answer and direct incoming calls from customers. Make calls when necessary to customers for Sales and Production.
Qualifications:
Job Duties/Responsibilities: • Provides administrative support to District Management and Installation • Answers phones and directs calls and/or takes messages when necessary • Reviews office reports daily (e.g., non-funded, pending credit, unverified sales), and communicates and resolves all outstanding jobs with Credit department, Area General Manager, District Sales Manager, District Production and/or Project coordinator and Sales Representative • Daily resulting of previous day's appointments before 3:00 (EST) and assigning of current days appointments (prior to 9 am). Manage and resolve all SFA orphans for the District. • Enters job proposals, materials and labor accurately, verifies contracts and scans 100-500 new jobs per week • Responsible for scanning in Human Resources related documents for new hires and existing associates • Coordinates and records minutes for Weekly Business Review meetings, and enters notes into Branch folder in SharePoint • Audits all sales paperwork for accuracy, enters ppwk into the system, secures customer credit information according to company PCI policy and creates job folders. • Enters job proposals (on applicable jobs), prints commission letters and reviews commission for data input accuracy • Reviews all completion paperwork for accuracy, and ensures full payment of contracts on all jobs • Process Sub Contractor payments maintain check security and process all completed jobs • Sets up and maintains all business equipment via the corporate Purchasing Manager • Sets upcleaning services through corporate Purchasing Manager and maintain all required supplies (cleaning, UPS and paper products) • Distributes mail to the proper departments and sets up all out going mail • Maintains and orders all Sales and Production paperwork to keep adequate monthly supply on hand • Orders, on a bi-weekly basis, all office supplies for the branch • Maintains and reconciles petty cash (where applicable) • Trains new hires (hourly only) on RedPrairie • Maintains positive and professional atmosphere in the district office • Acts as backup on certain tasks • Performs miscellaneous duties as assigned Required Skills: • Advanced customer service skills • Computer knowledge, and skill in using Microsoft Office products and web-based technology • Excellent organizational skills • Ability to lift up to 25 lbs.
