Job Description
POSITION SUMMARY: Lead a department of administrative pre-delivery appraisal review personnel and support staff (exempt and non-exempt) while managing transactional workflow and escalations. This includes multiple AOM's and their team members. Establish solid working relationships with business line managers and clients. Deliver appraisal based products through organized administrative collateral prescreen team that is credibly recognized by the clients serviced. Foster an environment of high employee morale, sustainable adherence to cost containment and regulatory requirements, and implement short-term and long-term process and systems improvements. Create and apply production and quality standards and measurements, quality control tools and management reporting into daily work activities. Manage and comply with all reporting and Human Resource requirements. Ensure financial goals are maintained including expenses and cost per unit. Ensure adherence to the service level requirements as established and compliance with the Department's Policies and Procedures. Represent the Department in new business discussions with clients and/or process improvement discussions; help to generate process flows, service level agreements, and other required documentation. Essential functions to be completed in this position are listed below. ESSENTIAL FUNCTIONS : Lead Administrative Pre-Delivery Appraisal Review Teams: Ensure AOM's manage daily transactional production through appropriate work assignment and delegation, reviewing reports and transactional data, and minimize both internal and external escalations through an effective escalation management process. Reallocate and prioritize work according to volumes and available resources; enlist the help of peer resources when required. Set strategy and help AOM's communicate tactics when processes change. Ensure all work is conducted in accordance with the established Policies and Procedures. Solicit technical support when system changes are needed to enhance product and service delivery. Comply with Reporting and Human Resources Requirements : Produce weekly and monthly management, staffing and financial reports as required. Estimate staffing needs; interpret business trends and allocate headcount appropriately. Ensure AOM's interview, hire and train new employees as required. Ensure disciplinary procedures are deployed and followed up on as required. Identify strengths of direct reports to help establish and suggest a plan to for follow career path goals. Understand and apply human resources labor regulations and corporate handbook requirements; ensure monitoring of employee performance against established production standards. Represent the Department in Business Discussions and Process Improvements: Maintain relationships with business line partners, IT staff and clients. Generate process flows and update as process requirements change. Participate in creation of service level agreements, quality control measurements, and help prepare related procedure and audit documentation. Deploy procedure or systems changes that enhance quality and service delivery. Maintain consistent communication with the Manager through regular meetings providing a summary of production, appraisal quality and TAT measurements. Anticipate impacts of regulatory and industry changes as they relate to the specific business line serviced. Focus on Customer Service : Communicate operational needs to internal staff, business line partners, external clients and peers. Ensure team is kept current on transactional and procedural issues. Ensure escalation procedures are followed. Solicit service feedback from clients and deploy value-added process changes. Ensuring customer service is a top priority. Change Management: Proactively identify process improvements and best practices while taking the initiative to implement the considerations in a fast paced environment. Deliver Team Performance through AOM's on Corporate Objectives, including: Evaluate performance of the team against corporate objectives, such as: Adherence to the required SLA's of the Administrative Pre-Delivery Appraisal Review process Communication of results and prioritization of orders Minimize the impacts of the pre-defined economic penalty items Timely order follow-up Same-day closure on escalations and client questions Timely processing of other daily activities as required Ensure procedures within area are current, accurate and fully documented. PERFORMANCE MEASUREMENTS : Annual performance reviews are conducted for each incumbent utilizing the current version of the Performance Review form. Factors such as work skills and knowledge, quality of work, timeliness, attitude, teamwork, communication skills and leadership skills are examples of the performance measurements used. Required: 2-3 years of exempt-level operations management experience at Rels Valuation or similar mortgage/finance company Bachelor's degree (or equivalent amount of job-related experience) Strong organizational, interpersonal, written and verbal communications skills Detail-oriented; customer service orientation Effective time management, organizational, and administrative skills Ability to multi-task to meet long-term and short-term deadlines Analytical and problem-solving skills; develop alternative solutions for complex situations Proficient PC skills including the Microsoft Suite of products Capability to effectively motivate all team members Ability to create and provide presentations as needed Demonstrate to the ability to have successfully lead a team of 25 or more Preferred: Five or more years experience with Rels Valuation (or equivalent work experience) Experience managing team(s) of 40-50 or more people Licensed within the appraisal industry Strong working knowledge of ProCollateral and WMS Experience using Access database(s) Inspire others to exceed performance expectations and remove obstacles to employees' production Create a solid sense of team that is sustainable over time
