Job Description
This position provides a high level of administrative support to an executive, which requires a broad-based knowledge of the Puerto Rico Corporation. The Executive Secretary to the President demonstrates a sustained high level of professionalism, accomplishment, discretion, accuracy and efficiency in a fast-paced environment. Organization skills and the ability to communicate in Spanish and English is a must.

• Provide the necessary support to relocated ex-patriots and their families.
• Prioritize multiple tasks, balancing many and sometimes conflicting assignments, keeping details and meeting deadlines.
• Understand the content, process and role of work in the overall function of the area, and its impact on other areas of the company.
• Work with business partners or internal customers to provide potential solutions or recommendations as needed.
• May also include: Knowledge and expertise in specific areas, including specialized policies/procedures and the ability to answer related questions.
• Learn and use Sears systems, work tools, formats and methods available.

Job Competencies – Current:

Essential Functions

1. DACO (Puerto Rico Department of Consumer Affairs)
-Keep a record of every DACO visit, fines, and customer complaints- active and closed cases.
-Provide, as necessary, the Unit Managers, Region Merchandise & Marketing Manager, Local Buyers, SHC Law Department and Local Counsel with all related documents such as: -DACO Resolutions -Authorization Letters for DACO hearings, DACO violation notices.

- Print reports (daily, weekly or monthly) for President and Region Merchandise & Marketing Manager.
- Handle customer complaints that are called-in directly to the President’s office.
- Translations (English & Spanish)
- Calendar – Make appointments for President.
- Receive & process legal documents (lawsuits, subpoenas, etc.)
- Receive & process letters from attorneys representing customers.
- Sears PR Golf Classic (year-round preparations)
- Make travel arrangements when requested.
- Meetings (coordinate and arrange).
- Write letters (to customers, vendors, government, etc.)
- Prepare reports, documents, presentations using Microsoft Applications (Word, Excel, PowerPoint) with no model or precedent.
- Take care of external and internal customers.
- Screen and handle incoming calls.
- Screen & process mail.
- Keep abreast of e-mails.
- Give support to District Managers when needed.
- Any duty/task that the President or Region Merchandise & Marketing Manager may assign at any given moment.

Requirements:

• Bachelors Degree in Secretarial Sciences
• Minimum of 2-3 years of executive administrative experience.
• High proficiency in Microsoft Word, Excel, PowerPoint and Outlook
• Excellent written and verbal communication skills both in Spanish and English.
• Flexible attitude and outgoing personality.
• Ability to plan, coordinate and see through meetings and large company events.
• Customer service oriented.
• Excellent organizational and leadership skills.
• Initiative.
