AECOM Water's Columbia, SC office is currently seeking an Administrative Assistant/Receptionist. This position would fulfill the following duties/responsibilities:
1. Responsible for filing and setting up new project files in an ISO 9001 Filing System.
2. Assisting in report development and production including project manuals, proposals and other documents.
3. Coordination with Accounting Department of invoicing.
4. Coordination and assisting in preparation of proposals.
5. Coding of vendor invoices and send to A/P for payment.
6. Word processing documents, spreadsheets and reports as requested by Project Managers and Engineers.
7. Distributing incoming mail/packages and outgoing mail, including FEDEX/UPS packages.
8. Maintenance of office supplies, toners for copiers/plotter machine/printers, coffee supplies and others supplies as needed.
9. Delivering documents and plans as required.
10. Copying/faxing/scanning documents.
11. Making travel arrangements for office personnel.
12. Assist engineers in project related task.
13. Answering telephone and greeting guests.
14. Liaison between office property management.
15. Access computer records and preparing records from same.
Skills and Knowledge: MS Word, Excel. Professional attitude, good interpersonal skills. Articulate and confident phone manner. Accuracy. Ability to listen, clarify, understand and efficiently follow directions. Ability to prioritize tasks and coordinate others to ensure deadlines are achieved. Willingness to learn from others and improve. Experience with Oracle preferred, experience with BDIS a plus.
