AECOM’s Bloomington, IN office is currently seeking an ADMINISTRATIVE ASSISTANT. This individual will be based in Bloomington but additionally support our Indianapolis staff. Occasional day travel to Indianapolis (paid) will be required. The administrative assistant’s job responsibilities would include the following:
- Answer phones/greet customers
- Daily filing and project file creation
- UPS and FedEx package shipments and receipts
- Keep current inventory of all office supplies and materials. Re-order as needed.
- Invoicing and billing – Knowledge of basic accounting procedures
- Review and prepare expense reports as requested
- Knowledge of all office machines including phone system, fax, copier, etc.
- Maintain postage meter
- Knowledge of regularly used computer programs such as Word, Excel
- Update current project leads and status
- Ability to set-up webcasts and other presentations using projection equipment
- Trade Show and Career Fair bookings/coordination (Schedule, follow-up, etc.)
- Maintain updated client contacts and contract information
- Take meeting minutes as needed
- Provide administrative assistance to all Indiana staff
- Maintain fleet vehicle maintenance schedules - deliver for servicing when required
- Keep reception area neat and orderly
